Linking / Inviting Your Accountant

How to give your accountant access to your RentalBux account so they can see your figures, pull reports, and help you stay on top of your tax — without handing over your password.

Why You'd Want to Do This?

If you work with an accountant, they probably ask you for the same things every year: income figures, expense breakdowns, bank statements, receipt copies, and a general sense of how organised you are (or aren't).

With RentalBux, you can invite your accountant to access your account directly. They'll see your financial data, pull the reports they need, and even help prepare your year-end tax return — all without you having to email spreadsheets back and forth.

The Two Types of Access

Read-only Access

Full Access

Your accountant or agent can view your data — income, expenses, reports, bank reconciliation, MTD submissions — but they can't change anything. This is the most common choice for accountants who just need to review your numbers.

Your accountant or agent can view AND edit your data. They can create invoices, log expenses, categorise transactions, and prepare your accounts. This is useful if your accountant actively manages your bookkeeping.

You choose which level to grant, and you can change it at any time.

How to Invite Your Accountant?

Go to Settings from the dashboard

Click User Management

Click Add User

Enter your accountant's name, email address and other details

Select Role and Choose Accountant

Click Save

Your accountant will receive an email with a link to accept the invitation. They'll create their own login.

Once they've accepted, they'll appear in your Switch Profile & Income Source section

What Your Accountant Can See and Do?

Read-only Access

Full Access

  • View all income and expenses across all properties

  • See your bank reconciliation status

  • Access your income statement, balance sheet, and trial balance

  • Review your MTD submission history

  • Download reports as CSV or PDF

  • View uploaded receipts and documents

  • Create and edit invoices

  • Log and categorise expenses

  • Reconcile bank transactions

  • Prepare year-end adjustments

  • Access the journal and general ledger

Your accountant cannot see your bank login credentials, change your password, or access your HMRC Government Gateway connection. Those remain private to you.

The Accountant Portal

RentalBux offers a dedicated accountant portal for accounting practices that manage multiple landlord clients. If your accountant has the portal, they can see all their RentalBux clients in one place and switch between accounts easily.

Ask your accountant if they'd like to register for the portal — it's available and can be set up through MTD for Accountants:Tax Reporting:HMRC-Recognised Software | RentalBux.

How to Revoke Access

If you change accountants or no longer want someone to have access:

Go to Settings > User Management

Find the person you want to remove

Click on the Action Button

Click on Delete User

Their access is removed immediately. They can no longer see any of your data.

Common Questions

Can my accountant file my MTD submissions for me?

Not directly through your account — MTD submissions must be authorised through your own HMRC Government Gateway connection. However, your accountant can prepare everything and tell you when it's ready to submit, so all you need to do is review and click Confirm.

Can I link more than one accountant?

Yes. You can have multiple people with access — for example, one accountant and one letting agent, or a bookkeeper and a tax advisor.

Does my accountant need to pay for RentalBux?

No. Accountant access is included in your plan. The accountant collaboration is free for accounting practices.
