1. Introduction
1.1 These terms and conditions govern your use of the RentalBux website and software platform (the Service). By accessing or using RentalBux, you agree to be bound by these terms. If you do not accept these terms, you must not use the Service.
1.2 RentalBux is designed to assist landlords and sole traders in meeting their Making Tax Digital (MTD) obligations under the Income Tax Acts and associated HMRC requirements. The Service helps you organise, record, and prepare financial information for submission to HMRC, but it does not provide personalised tax or accountancy advice.
1.3 We reserve the right to modify these terms at any time. We will notify you of significant changes by email or through the Service. Continued use of RentalBux after such notification constitutes your acceptance of the revised terms.
1.4 By accessing RentalBux, you acknowledge that you have read and understood this entire agreement, including our policies on cookies, data protection, and intellectual property rights.
2. Cookies Policy
Your use of RentalBux and our website is also governed by our Cookie Policy and Privacy Policy. These policies are incorporated into these Terms and Conditions and form part of the binding agreement between us. You should review our Privacy Policy and Cookie Policy carefully to understand how we collect, use, and protect your personal data, including information about the cookies and similar tracking technologies we use on our website and services.
3. Description of Service
3.1 RentalBux provides software tools to help you record income and expenses, organise financial records, and prepare data for MTD submission. The Service includes features such as income tracking, expense categorisation, quarterly reporting, and export functionality for submission to HMRC.
3.2 The Service is designed for landlords with tax obligations relating to rental income and sole traders. It is not suitable for limited companies or more complex tax scenarios. If you are uncertain whether RentalBux is appropriate for your circumstances, you should consult an accountant or tax adviser.
3.3 The Service is provided on a software-as-a-service basis. You do not own the software; you are granted a limited license to use it in accordance with these terms.
3.4 We do not provide tax advice, accountancy services, or personalised guidance on your specific tax position. If you require such services, you should engage a qualified accountant or tax adviser.
3.5 We do not ensure that the information on this website is correct. We do not warrant its completeness or accuracy, nor do we promise to ensure that the website remains available or that the material on the website is kept up to date.
4. User Responsibilities and Data Accuracy
4.1 You remain solely responsible for the accuracy, completeness, and legality of all data you enter into RentalBux. You must ensure that all income, expenses, and financial information provided to the Service are complete, accurate, and support your tax returns.
4.2 You are responsible for maintaining adequate underlying records and documentation to support the information entered into RentalBux. HMRC requires you to keep records for at least six years. RentalBux is a record-keeping tool, but it does not replace your obligation to maintain full supporting documentation.
4.3 You acknowledge that you are solely responsible for your tax compliance obligations. Use of RentalBux does not reduce your personal responsibility for the accuracy of your tax returns or your compliance with HMRC requirements.
4.4 You must ensure that data entered into RentalBux is your own or that you have appropriate authority to input data on behalf of another person or organisation.
4.5 You are responsible for the security of your login credentials. You must not share your password with others and must take reasonable steps to maintain the confidentiality of your account. You must notify us immediately if you believe your account has been compromised.
4.6 You acknowledge that RentalBux generates calculations and summaries based on data you provide. You must review all figures, summaries, and calculations generated by RentalBux before submission to HMRC or reliance upon them for any purpose. You must not rely solely on figures generated by the Service without independent verification.
5. Eligibility and Restrictions
5.1 You must be at least 18 years of age to use RentalBux.
5.2 You must not use RentalBux if you are prohibited from doing so under applicable law or if your use would breach any sanctions or regulatory restrictions.
5.3 You must not use RentalBux to create false or misleading financial records, to facilitate tax evasion, or for any unlawful purpose.
5.4 You must not attempt to access the Service through unauthorised means, interfere with the Service's functioning, reverse engineer the software, or attempt to extract source code or underlying algorithms.
5.5 You must not use the Service to assist others in performing the above prohibited activities.
6. Pricing and Payment Terms
6.1 RentalBux operates on a subscription basis. Current pricing is displayed on the website. Prices are exclusive of VAT where applicable.
6.2 Subscription fees are charged on the basis specified at the time of purchase, whether monthly or annually. Billing commences on the date you activate your subscription.
6.3 Payment must be made by valid debit or credit card. You authorise us to charge your payment method for the subscription fee on each billing date.
6.4 If payment fails on your billing date, we will attempt to process payment again. Failure to pay may result in suspension of your access to RentalBux.
6.5 Prices may change with 30 days' written notice. Changes will apply to new subscription periods only, not to existing subscriptions during their current term.
6.6 Refund requests must be made within 14 days of purchase. Refunds are provided only if you have not accessed or made material use of the Service. Refunds are processed within 14 business days.
6.7 For annual subscriptions cancelled before the end of the subscription period, refunds will be calculated on a pro-rata basis for unused months, subject to section 6.6.
7. Intellectual Property Rights and License
7.1 RentalBux, including all software, design, content, and functionality, is owned by RentalBux Limited or its licensors. All intellectual property rights are reserved. You are granted a non-exclusive, revocable, non-transferable license to use RentalBux solely for your own personal use in managing your tax records as an individual landlord or sole trader.
7.2 Except as explicitly permitted in these terms, you must not:
- Republish material from RentalBux;
- Sell, rent, or sublicense material from RentalBux;
- Reproduce, duplicate, or copy material from RentalBux;
- Redistribute content from RentalBux;
- Copy, reproduce, modify, adapt, translate, create derivative works from, distribute, or sell any part of RentalBux or its content;
- Use RentalBux to create competing products or services;
- Reverse engineer, decompile, or attempt to derive the source code of RentalBux;
- Remove or alter any copyright, trademark, or other proprietary notices on RentalBux.
7.3 Any data you generate, input, or export from RentalBux remains your property. However, we retain the right to use anonymised, aggregated data for service improvement and analytics purposes, provided it cannot identify you.
7.4 No use of RentalBux's logo, name, or other artwork will be permitted without a written trademark license agreement signed by an authorised representative of RentalBux Limited.
8. User Comments and Content
8.1 Posting Comments: RentalBux may allow you to post, submit, or exchange comments, questions, feedback, or other user generated content in certain areas of our website or service, such as discussion forums or feedback pages. RentalBux does not filter, edit, or review comments before they are posted. Comments do not reflect the views or opinions of RentalBux, its agents, or affiliates, and reflect only the views of the person posting them.
8.2 Your Responsibility: When you post comments, you warrant and represent that you are entitled to post them and have all necessary licenses and consents to do so. Your comments must not infringe any intellectual property rights of third parties, contain defamatory, offensive, indecent, or unlawful material, invade anyone's privacy, be used to solicit business or promote unlawful activity, or violate any applicable law or regulation. Your comments must be accurate and truthful.
8.3 Our Use of Your Comments: By posting comments, you grant RentalBux a non-exclusive, royalty-free, perpetual, irrevocable license to use, reproduce, edit, publish, and distribute your comments in all forms, formats, media, or technology now known or developed in future.
8.4 Our Rights: RentalBux is not liable for any comments or any damage caused by their posting. We reserve the right to monitor all comments and to remove any comments which are inappropriate, offensive, defamatory, or breach these Terms and Conditions, without notice. We also reserve the right to disclose your identity and contact information if required by law, court order, government authority, or to protect the rights, property, and safety of RentalBux and its users.
9. Hyperlinking to RentalBux Website
9.1 External Linking Policy: External linking to the RentalBux website is permitted in accordance with these guidelines. You are welcome to link to our home page or other content on our website, provided you comply with the conditions in this section.
9.2 Organisations That May Link Without Prior Approval: The following organisations may link to the RentalBux website without prior written approval: government agencies, search engines, news organisations, online directory distributors linking in the same manner as they link to other listed businesses, and system wide accredited businesses. Soliciting nonprofit organisations, charity shopping malls, and charity fundraising groups may not hyperlink to our website without prior written approval.
9.3 Link Requirements: All links must meet the following criteria. The link must not be deceptive, must not falsely imply sponsorship, endorsement, or approval of RentalBux or its products or services, and must fit within the context of your website.
9.4 Organisations That Require Approval: We may consider and approve link requests from commonly known consumer and business information sources, community sites and portals, associations or groups representing charities and professional bodies, online directory distributors, internet portals, accounting, law, and consulting firms, and educational institutions and trade associations. We will approve link requests if we determine that the link would not present RentalBux unfavourably to ourselves or our business partners, your organisation has no negative records with us, the benefit to us from the hyperlink visibility compensates for the absence of promotional consideration, and the link is in the context of general resource information.
9.5 Requesting Approval: If you wish to link to our website, please send an email to support@rentalbux.com. Include your name, organisation name, contact information, your website URL, a list of URLs from which you intend to link to our website, and a list of our URLs to which you would like to link. Please allow 2 to 3 weeks for a response.
9.6 Approved Hyperlinks: Approved organisations may hyperlink to our website by using our corporate name, the specific URL being linked to, or any other description of our website that makes sense within the context and format of your website.
9.7 Logo and Visual Presentation: Without prior approval and written permission, you may not create frames around our web pages that alter the visual presentation or appearance of our website. No use of RentalBux's logo or other artwork will be permitted for linking without a trademark licence agreement.
10. Data Protection and Privacy
10.1 We process personal data in accordance with the Data Protection Act 2018 and UK GDPR. Our full privacy policy is available on our website and forms part of these terms.
10.2 By using RentalBux, you consent to us collecting and processing the following categories of data: your name, email address, contact details, login information, financial data you input into the Service, and technical data about your use of the Service.
10.3 We process your data to provide the Service, fulfil our legal obligations, and improve our Service. We will not sell, rent, or share your personal data with third parties except as required by law or as described in our privacy policy.
10.4 HMRC data sharing: If you submit your tax return directly through RentalBux, we may need to transmit your financial summary data to HMRC. This transmission occurs in accordance with HMRC's MTD requirements and UK tax legislation.
10.5 You have the right to access, correct, port, or delete your data, subject to our legal obligations to retain data for tax purposes. To exercise these rights, contact our data protection officer at privacy@rentalbux.com.
10.6 We implement appropriate technical and organisational security measures to protect your data. However, no security system is completely secure. You acknowledge that data transmission over the internet carries inherent risks.
10.7 We retain your data for six years following the end of the tax year to which it relates, in accordance with HMRC's record retention requirements. After this period, we will securely delete your data unless we are required by law to retain it.
10.8 You must ensure that any personal data of others (such as business partners or employees) that you input into RentalBux is accurate and that you have appropriate authority to do so. You are responsible for compliance with data protection law in relation to such data.
11. Content Liability and Indemnification
11.1 We shall not be held responsible for any content that appears on your website or for any use you make of our content or links. You agree to protect and defend us against all claims arising from any content on your website or your use of RentalBux.
11.2 No link should appear on any website that may be interpreted as libellous, obscene, criminal, or which infringes, violates, or advocates the infringement or violation of any third-party rights.
11.3 You agree to indemnify, defend, and hold harmless RentalBux Limited, its owners, directors, employees, and agents from any claims, damages, losses, or expenses (including legal fees) arising out of:
- Your use of RentalBux in breach of these terms;
- Your violation of any law or third-party rights;
- Your input of false, incomplete, or inaccurate data;
- Your failure to comply with HMRC requirements;
- Any claim that your use of RentalBux infringes a third party's rights;
- Your Comments or user-generated content;
- You linking to our website in breach of section 9.
12. Limitation of Liability
12.1 Our Liability: RentalBux and its owners, directors, employees, and agents shall not be liable to you for any indirect, incidental, consequential, special, or punitive damages, including loss of profits, loss of revenue, loss of data, or business interruption, even if we have been advised of the possibility of such damages.
12.2 Maximum Liability: RentalBux's total liability to you arising out of or relating to these Terms and your use of our service shall not exceed the greater of either the total amount you have paid for subscriptions in the preceding twelve months, or £100. These limitations apply whether your claim is based on warranty, contract, tort, negligence, strict liability, or any other legal theory.
12.3 Excluded Losses: We are not responsible for losses or damages arising from your failure to maintain accurate, complete, or legally compliant records; incorrect data entry or incomplete records provided by you; your failure to maintain appropriate backup copies of your data; or your use of our service for purposes for which it was not designed. We are also not responsible for losses arising from your failure to comply with HMRC requirements or tax legislation; decisions made by HMRC regarding your tax position; penalties or interest assessed by HMRC relating to inaccurate or late submissions; your reliance on RentalBux generated figures without independent verification; technical issues or errors in calculations arising from incorrect input data; or service interruptions or downtime beyond our reasonable control.
12.4 Service Provision: We do not warrant that RentalBux will be error-free, that it will always generate accurate results, or that it will meet your expectations or requirements. The service is provided on an "as is" basis. If the website and the information and services on the website are provided on the terms in these conditions, we will not be liable for any loss or damage of any nature. We do not guarantee that RentalBux will remain compatible with future versions of HMRC software, systems, or requirements, or that it will continue to be updated to reflect changes in tax legislation.
12.5 Exceptions: Nothing in these Terms excludes or limits our liability for death or personal injury, fraud, fraudulent misrepresentation, breach of data protection law, or liability that cannot be excluded by law.
13. Service Availability and Technical Support
13.1 Service Access: RentalBux aims to provide access to the service 24 hours per day, 7 days per week. However, we do not guarantee uninterrupted access. The service may be temporarily unavailable for maintenance, updates, or technical reasons. We will use reasonable efforts to maintain the service and minimise downtime, but we are not liable for service interruptions unless they result directly from our gross negligence.
13.2 Technical Support: We provide support via email at support@rentalbux.com, Monday to Friday. Response times are typically within a minimum of 24 hours. Critical technical issues affecting access to your data may receive priority support. Non-urgent queries are handled in the order they are received. We do not provide telephone support or on-site support.
13.3 Your Responsibilities: You are responsible for maintaining an appropriate internet connection to access RentalBux. We are not responsible for issues arising from your internet connectivity, your computer hardware, your web browser, or your device. You should ensure you have a reliable internet connection and compatible technology to use our service effectively.
14. Backup and Data Retention
RentalBux maintains regular backups of its systems; however you remain responsible for maintaining your own copies of data generated within RentalBux. We recommend that you export and retain copies of your records on a quarterly basis or before submission to HMRC. RentalBux retains your data for six years following the end of the tax year to which it relates. Upon termination of your account or at the end of this retention period, your data will be securely deleted unless we are required to retain it by law. If you delete data from RentalBux, it cannot be recovered, and you are responsible for ensuring you maintain copies before deletion. We are not responsible for loss of data resulting from your failure to back up information or from accidental deletion by you.
15. Termination of Service
15.1 Your subscription will continue until terminated by you or us.
15.2 You may terminate your subscription at any time by requesting cancellation through your account settings or by contacting us at info@rentalbux.com. Your access will cease at the end of your current billing period.
15.3 We may terminate or suspend your access to RentalBux immediately and without notice if you breach these terms, including if you provide false information, attempt unauthorised access, use the Service for unlawful purposes, or fail to pay subscription fees.
15.4 We may also terminate the Service to any or all users if we cease operations, with 30 days prior notice and refund of any prepaid fees.
16. Representations and Compliance
16.1 Your Warranties: By using RentalBux, you represent and warrant that you are at least 18 years old and have the authority to enter these Terms and Conditions. You confirm that all information you have provided to us is accurate and truthful, that your use of RentalBux complies with all applicable laws, that your use does not infringe the rights of any other person or organisation, and that you are not subject to any sanctions or restrictions that would prohibit your use of the service.
16.2 Eligibility and Tax Status: You represent that you are eligible to use RentalBux based on your tax status as either a landlord or sole trader, and that you have disclosed all relevant details about your tax position, business structure, and circumstances to your accountant or tax adviser. You confirm that the information you have provided accurately reflects your tax and business position.
17. Changes to the Service
17.1 We may modify, enhance, or discontinue features of RentalBux at any time, provided that essential functionality for MTD compliance is maintained during your subscription term.
17.2 We will notify you of significant changes that may affect your use of the Service.
17.3 If we discontinue the Service, we will provide at least 30 days' notice and offer a refund of any prepaid fees.
18. Links to Third Party Resources
18.1 RentalBux may contain links to third party websites, including HMRC, accounting software, and professional resources. These links are provided for your convenience only.
18.2 We do not endorse, control, or assume responsibility for the content, accuracy, or practices of third-party websites. Use of third-party resources is at your own risk and subject to their own terms and conditions.
18.3 We are not responsible for losses or damages arising from your use of linked third party resources.
19. Confidentiality
19.1 You acknowledge that RentalBux may contain our confidential information, trade secrets, and proprietary methodologies. You must maintain the confidentiality of this information and not disclose it to others.
19.2 We will treat your financial data and personal information as confidential, subject to our privacy policy and legal obligations to disclose information to HMRC or other authorities as required.
20. Reservation of Rights
20.1 We reserve the right to:
- Request that you remove all links or any link to our website, and you agree to immediately remove all links upon request;
- Amend these terms and conditions and our linking policy at any time;
- Monitor all Comments and remove inappropriate content;
- Suspend or terminate your access immediately if you breach these terms;
- Modify, suspend, or discontinue the Service with appropriate notice.
20.2 By continuously linking to our website or using the Service, you agree to be bound to and follow these terms and conditions.

21.2 RentalBux meets the standards set by HMRC for MTD software and is listed on the HMRC software provider register.
21.3 You are responsible for understanding and complying with all applicable tax legislation, including the Income Tax Acts, Tax Avoidance Rules, and any applicable exemptions or reliefs.
21.4 You remain responsible for:
- Ensuring the accuracy of your MTD submissions;
- Meeting HMRC filing deadlines;
- Paying any taxes due;
- Maintaining records as required by law;
- Reporting all income and claiming appropriate relief.
22. Acceptable Use Policy
22.1 You must not use RentalBux to:
- Create false or misleading financial records;
- Facilitate tax evasion or other unlawful activity;
- Infringe intellectual property or data protection rights;
- Harassment, abuse, or harm others;
- Interfere with the Service's functioning or security;
- Reverse engineer or extract underlying software or data;
- Use the Service on behalf of a business unless you are authorised to do so;
- Process data for purposes other than managing your tax records;
- Post defamatory, offensive, or unlawful Comments.
22.2 Breach of this policy may result in immediate suspension or termination of your account and potential legal action.
23. Entire Agreement
23.1 These terms and conditions, together with our privacy policy, constitute the entire agreement between you and RentalBux Limited regarding your use of the Service. They supersede all prior negotiations, understandings, and agreements.
23.2 No waiver of any provision of these terms is effective unless made in writing and signed by an authorised representative of RentalBux Limited.
