Personal Spending In a Shared Account

Most landlords have at least one account where rent and private spending share a statement. That is not a problem as long as the private items are marked, so your figures show the lettings and nothing else.

Steps

  1. Select the transaction.

  2. Open the Transfer tab and choose the personal option, or use Mark as personal from the row menu.

  1. Once confirmed click Transfer.

What It Does

The transaction is filed under All transactions → Personal, logged as drawings, and kept off your tax reports. It stays visible this is not deletion so the account still reconciles to the bank.

Personal, Or An Expense?

Payment

Treat it as

Weekly food shop from the rent account

Personal

Money moved to your current account for yourself

Personal drawings

Fuel for a trip to a property

An expense, if the trip was for the lettings

A tool used at home and at a rental

An expense, split or personal, if mostly private

Check first: Marking something personal to make the queue shorter is the wrong instinct. If the cost belongs to the lettings, categorise it you are otherwise choosing not to claim it.

A Whole Account That Is Private

If an account holds no lettings activity at all, tick This is a personal account on the account instead of marking every line. It is kept separate and left out of your tax totals.

Mixed Accounts Are Normal

Most landlords start with rent arriving in an account they already had. RentalBux does not require a separate business account; it requires the private items to be marked, so what remains is the lettings.

Worked Example

A joint current account holds rent for two flats, the weekly shop, a mortgage payment for the home, and repairs for both flats. Marking the shop and the residential mortgage as personal leaves the account reconciling to the bank while the reports show only the lettings. The repairs stay, categorised against their properties.

Drawings, Not A Cost

Money you take for yourself is a withdrawal of profit, not a business expense. Marking it personal records it as drawings, which is what it is, and keeps it out of the profit figure your return is built from.

When To Separate The Account

It is a convenience decision, not a compliance one. A separate account makes each month faster and makes questions easier to answer later. Both work; one is less effort.

Common Questions

4 answers · curated
Does personal spending affect my profit?

No. It is drawings, not a cost.

Should I open a separate account?

It is not required, and RentalBux copes either way, but it makes every month faster.

Does HMRC see personal items?

No. They are excluded from everything submitted.

What about a cost that is half business and half personal?

Split the transaction and post each part to its own category, rather than applying a flat percentage across the whole account.
